Benefit Service Coordinator


Under direct supervision of the Client Executive Service, provide administrative and project support to Employee Benefit associates. This position will work with a variety of associates on assigned practice group, and at other times working alone assignments.

Essential Duties and Responsibilities:

Under the guidance of the Client Executive Service, learn and assist with the insurance bidding process.

-- Assist teams in all aspects of the bidding process as requested.
-- Review census data, plan design, rate information, experience data, and related materials to ensure that necessary and accurate information is submitted to the carrier(s) to renew / continue the policy.
-- Work with carrier representatives to track marketing submissions and communicate the status of those submissions to client service team members to ensure that changes/ updates are completed.
-- Using approved templates, prepare and coordinate creation of new / renewal formal binders or iPad presentations, open enrollment communications, and other client presentation materials.

Provide administrative support to associates on assigned Practice Group.

-- Upload presentations to iPads and generally maintain iPads assigned to the Practice Group.
-- Upload client data to mobile applications as requested.
-- Maintain client websites / work with website vendors as requested.
-- Create and maintain wallet / ID cards as requested,
-- Process BOR letters internally and with carriers as requested.
-- Maintain client and carrier contacts in required systems.
-- Update and assist in maintaining required agency management systems and filing systems upon renewal and during special project requests.

Adhere to internal process and procedures and keep abreast of changing regulations.

-- Attend meetings as requested.
-- Prepare files and other records needed for Barney & Barney.
-- Participate in market research projects and keep abreast of the insurance marketplace.
-- Maintain the professional standards established by Barney & Barney when working with carriers and clients.
-- Follow processes and procedures as outlined in the Procedure Manual.

Education and/or Experience

Successful candidate will be a service oriented individual with high personal standards and a hands-on work style.  This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions.

This position interacts with and provides service to internal associates and has contact with external vendors.  The Benefits Service Coordinator must be positive and approachable, and work effectively with diverse personalities.  In addition, the following is required unless otherwise noted:

-- High School Diploma or equivalent G.E.D. Some college or Bachelor’s Degree preferred.
-- 1-2 years of administrative experience in a professional capacity.
-- Proficient in using the internet, Microsoft Outlook, Word, Excel, and PowerPoint to create, format and update documents, tables, charts, graphs and formulas is required.
-- Above average math skills required and demonstrated ability to prioritize tasks, resolve problems and plan appropriately to ensure deadlines are met.
-- Must have strong verbal and written communication skills, be detail oriented, and have the ability to multi-task.
-- Must be dependable and work productively with others in a team environment.

Work Environment and Physical Demands:

-- Ability to use computer keyboard and sit in a stationary position for extended periods.
-- Work is performed in a typical interior/office work environment.
--  Occasional overtime may be required.
